RMS Enhances RMS Pay With Advanced Payment Schedules and Automated Invoicing

RMS has launched automated invoicing and Advanced Payment Schedules, expanding the functionality of RMS Pay and extending its end-to-end cash flow automation tools for hospitality operators, the company announced February 24.

The new features are designed to help hotels, motels, holiday parks and serviced apartments manage payment collection and recurring billing through automation, particularly in high-volume short-stay and long-stay environments.

Advanced Payment Schedules allow operators to configure payment rules around defined dates, rates and policies, triggering automated collections throughout the booking journey. RMS manages receipt generation and reconciliation while providing a dashboard that gives visibility into failed payments, enabling teams to address issues directly.

The structure is intended to reduce missed payment dates and improve reconciliation processes by automating deposits and balance collections. 

According to the company, the functionality provides clearer oversight of payment workflows and a more predictable revenue cycle.

Automated invoicing also supports properties managing ongoing guest accounts, including serviced apartments, build-to-rent and co-living providers, holiday parks offering long-term sites, and workforce or corporate accommodation. Operators can establish recurring billing schedules and generate invoices automatically.

Payments can be collected through saved credit card tokens, RMS PayByLink or direct debit via a new integration with GoCardless. The system automates invoice generation, payment collection and reporting, reducing manual administration and missed payments.

According to a press release, Cameron Gough, chief product officer at RMS, said the new tools are designed to give operators greater oversight of their revenue cycle.

“Automated invoicing and Advanced Payment Schedules put operators back in control of their cashflow while stripping out the manual effort behind the scenes,” Gough said. “With structured instalment plans, operators can make higher value stays more accessible to guests who prefer to spread the cost, while securing revenue earlier in the booking journey.”

He added that collecting payments ahead of arrival can reduce no-shows and improve operational efficiency.

All RMS customers have access to Advanced Payment Schedules and automated invoicing. Operators using the RMS Pay gateway can enable full automation, including automatic card charging and secure RMS PayByLink, while those not using RMS Pay can generate schedules and trigger payments manually through the Automated Payments Dashboard.
