In a highly competitive outdoor hospitality market where returning guests drive profitability, relying on legacy property management systems (PMS) is no longer enough to secure reliable bookings.
Campground owners are increasingly shifting toward AI-integrated platforms designed to automate labor-intensive tasks and hyper-personalize the guest journey. Research supports this transition; for instance, a 2026 survey by Campspot revealed that 43% of campground operators identified guest communication as the number one area where AI will significantly impact their parks in the next two years.
The integration of artificial intelligence is rapidly transitioning from a futuristic novelty to a foundational operational tool for driving occupancy and optimizing net operating income. Highlighting this financial impact, data from CRR Hospitality demonstrates that implementing AI-powered systems for tasks like resource allocation and guest profiling has allowed early-adopter campgrounds to boost operational efficiency by up to 50% and increase overall revenue by 25%.
Automating the Front Desk and Closing Lost Business
The rapid evolution of PMS platforms is fundamentally changing the operator toolkit, forcing businesses to evaluate how technology can streamline their daily operations. Between legacy systems updating their features and newer entrants deploying AI functionality, the race to deliver frictionless operations is accelerating.
Rafael Correa, president and CFO of Blue Water, emphasized during the September 2nd, 2026, episode of MC Fireside Chats that building a functional PMS requires managing multiple complex layers. “What it takes to make a PMS is not just software, right? I mean, there is security, there is credit card processing,” Correa noted, pointing out the vast variations in park models, from transient sites to managed marinas.
For operators, one of the most immediate ROI opportunities with AI lies in recovering lost leads through automated communication. Highlighting the value of AI call-answering features, Correa pointed out that these systems provide an agent “that’s on 24/7 that’s able to close business and not to mention that they’re closing business they’re also tracking every single call”. This capability allows operators to capture bookings that might otherwise be lost to unanswered phones during peak check-in hours.
Personalizing the Guest Journey to Drive Retention
While automation cuts operational friction, the true value of next-generation PMS technology lies in its ability to parse guest data and optimize property marketing. For operators, utilizing AI to offer a highly personalized experience lowers the overall cost of acquisition by drastically improving guest retention.
Rachel Godbout, COO of Advanced Outdoor Management (AOM), stressed that AI must enhance, rather than replace, core guest relations. “The AI affects everything from the way the guest searches, where you show up, how they find you, to their booking decision,” Godbout explained.
By leveraging data on guest preferences—such as specific site orientations or amenity proximity—campgrounds can deploy targeted marketing campaigns that resonate with previous visitors. However, she noted that operators cannot afford to lose sight of the on-property experience. “We have to go back to the basics with hospitality in order to retain the customer,” she stressed.
The operational push toward personalized hospitality through data directly addresses broader consumer psychographics. Phil Ingrassia, president of the RV Dealers Association, highlighted an American Psychological Association (APA) study noting that half of all Americans feel disconnected from their surroundings. This highlights a crucial opportunity for campground owners: using data to curate an individualized, welcoming environment that fosters community, directly translating to repeat revenue.
Balancing Automation with Core Hospitality
Understanding and accommodating evolving traveler profiles is critical for protecting the bottom line. Research from Kampgrounds of America’s (KOA) Annual Camping & Outdoor Hospitality Report continually emphasizes that millions of households adjust their plans based on economic factors, making a seamless, personalized reservation process vital for mitigating booking abandonment.
While the operational benefits of AI are clear, operators must implement these tools strategically to avoid alienating core demographics. Michael Moore, assistant executive director of the Texas Association of Campground Owners (TACO), cautioned against over-automating to the point of losing the human touch.
Moore noted that park operators must carefully consider how new technology impacts the guest currently occupying the site. “Repeat and referral is your number one source,” Moore said. “We have to make sure that we’re first and foremost catering to the guests we have. But again, AI absolutely has a place in that too.”
Campground operators adjusting their revenue models and PMS strategies must also align with changing RV ownership trends. Data tracked by the RV Industry Association (RVIA) and researchers like Scott Bahr reveals that evolving consumer life stages are driving the market, forcing a pivot away from simple generational marketing.
As travelers shift toward simpler, lighter towables and experiential travel, a property’s reservation system must be sophisticated enough to identify these segmented guest profiles and offer tailored, highly relevant upsells.
Ultimately, the transition to AI-integrated PMS is less about replacing front desk staff and more about empowering them. By leveraging data analytics, automated call tracking, and hyper-personalized communication, campground operators can drive top-line revenue while maintaining the core hospitality that secures long-term profitability.
